NEW POLICY ON TOURNAMENTS FINANCES

To all SBers, this is a VERY IMPORTANT NOTICE regarding how the club will run tournaments finances from now on. Due to: - an accumulated players' debt of over £800 mainly due to participation in tournaments - some players owing for 2 and more tournaments fees (£50+) - players having been "surprised" by the cost of participating in some events (i.e. costs of £35 and £40 per player in the last 2 tournaments) The executive committee has decided on a NEW POLICY REGARDING PARTICIPATION IN TOURNAMENTS. 1 - Two weeks before a tournament takes place: the captains will email the club announcing the team (based on availabilities declared previously - e.g. the players diary). In this email they will also present a rough estimate of the cost per player (tournament fee + transport). 2 - One week before (until midnight of the previous Sunday): players to confirm their availability or drop out. After this point, confirmation or absence of written statement of unavailability (i.e. email to captains) will be considered as accepting to participate. 3 - Monday before the tournament: The final team will be announced. The players on this list are now committed to paying the tournament fee. 4 - Week before tournament: any player dropping out during this week will still be liable to pay the tournament fee (except due to injury/illness). 5 - At the tournament: no money will be collected, pending calculation of actual costs involved. 6 - Day following the tournament (usually Monday): players will receive an email with the final/updated costs. a)The tournament fee is split evenly among those committed (having played or dropped out the week before); b)Transport costs are split among those travelling from Cambridge: rentalcars/minibuses costs split among all players going, petrol of own cars paid at 1.5 x petrol costs and split, along with the remaining petrol (i.e. rentals), among non-driving players. Payment details will be sent along with this email. 7 - Week after the tournament (until midnight of the following Sunday): deadline to pay for the tournament costs. Money, a cheque or a copy of the online transfer order will have to be received by the treasurer by this point. 8 - Failure to pay by the deadline will result in the added payment of a FINE of £5. This new policy is now in effect and applies to MT3, taking place on the 19th/20th of May and all the following tournaments: MIXED TOUR, OPEN TOUR, WOMENS TOUR, STUDENT REGIONALS/NATIONALS (OPEN/WOMEN/MIXED, INDOORS AND OUTDOORS). We hope these rules are sufficiently clear. They were designed to increase the transparency of payments and to avoid the accumulation of individual and collective debts.
