The Committee
Disclaimer: In certain situations the
duties of one committee member may be undertaken by any other committee member
– as such, each committee member is responsible for ensuring that their duties
have been carried out, not necessarily that they themselves have carried out
said duties.
Health and Safety
In addition to the roles described below,
certain committee positions also have Health and Safety responsibilities (and
all committee members should feel able to be a field captain at some point
during the year). Details of Health and Safety responsibilities are given in
the Club Safety Guidelines (copy on the website).
Is the face of the club to its members
Organises the coaching of and keeps an eye
on the experienced archers (knows the names and faces of all archers to as
great a degree as possible)
Knows about archery, attends tournaments
Is responsible for the team’s performance;
supports and encourages all club members in their archery
Chairs the committee meetings, delegates
tasks, generally is responsible for making sure things
get done
Emails the club a bulletin every week
Gives the annual report at the AGM
Secretary
Is the face of the club to external bodies:
Organises tournament entries (except BUTTS
– see Novice Officer)
Organises tournaments run by the club
(Cambridge BUTTS, VM etc.)
Affiliates appropriate club members to GNAS
Writes and circulates notice of agenda for
committee meetings; writes and circulates minutes
Edits mailing list; responds to enquiries
to archery@cusu.cam.ac.uk
Keeps all administrative records and
directives
Treasurer
Keeps account of incomings and outgoings of
club and bow-loan scheme
Keeps club accounts and bow-loan accounts
up to date for every meeting
Is the point of contact with the Senior Treasurer
Sends audited accounts to Proctor’s Office
Writes and sends grant applications
Collects have-a-go and membership monies
Membership Secretary i.e. collects names
and emails from above
Provides report of accounts for AGM
[Keeps record of individual members’
expenses e.g. transport to club competitions]
Equipment Officer
Maintains club kit
Teaches others to maintain kit (e.g.
bow-loan scheme members)
Arranges purchase of new/replacement kit
where necessary
Keeps inventory of club kit up to date
(also for insurance purposes)
Novice Officer
Organises BUTTS tournament
entries/transport
Organises and oversees the coaching of
novices
Allocates bow-loan bows
Supports and encourages novices
Publicity Officer
Publishes bi-termly
newsletter for club members
Writes articles for student newspapers and www.sport.cam.ac.uk
Maintains and develops the club website
Informs adela.liew@cam.ac.uk about upcoming
events to be put on www.sport.cam.ac.uk
Liaises with companies re sponsorship
Improves links with CUB alumni
Women’s Officer
Attends women’s blues committee meetings
Encourages women to apply for Ospreys money
Records Officer
Keeps records of all scores/tournament
results
Calculates classifications/handicaps/seedings of club members
Submits scores to IUPL
Keeps accurate information on club
records/colours
Is aware of
county/regional/national/international records
Is in charge of
administration re GNAS awards (H. I. Award etc.)
Organises official club target days
Social Secretary
Organises and informs club of all social
events (e.g. weekly pub meet, Annual Dinner, Garden Party, squash, etc. etc.
etc.)
Invites Professor Greer (or other relevant
interested parties) to Annual Dinner and Garden Party
