Presentation guidelines
We regret that it is not possible to present in absentia. Please let us know if you find yourself unable to come.
Oral presentations
Each 30-minute oral presentation slot will consist of a 20 minute talk followed by 10 minutes of questions. Presenters should ensure that their talk is of no more than 20 minutes' duration.
Presenters should use the media that they indicated with their abstract submission. Presenters who are using PowerPoint are strongly advised to send their presentations in advance to camling@hermes.cam.ac.uk. Presentations should arrive before 13th March 2007. The guidelines below should also be noted when designing PowerPoint presentations as they will help to ensure that the presentation runs as intended on the day:
- Avoid non-unicode fonts. For phoneticians this means you need to use the SIL fonts which end in "SIL" (e.g. DoulosSIL) rather than the ones which start with "SIL" (e.g. SILDoulos)
- Consider using the 'pack and go' option available in PowerPoint, especially if you are using specialised fonts and sound files.
- Use the 'pack and go wizard' available from the file menu.
- Tick the boxes to include fonts and sounds.
- There is no need to tick the box to include the PowerPoint Viewer.
- The wizard creates two files. You need both of them to unpack the presentation, and therefore both should be sent to the organisers.
- Try to make only limited use of unusual fonts and animated charts and images.
- If possible, produce your presentation on a PC (rather than a Mac) as we will be using PCs on the day of the conference.
- Bring a copy of your presentation (preferably using 'pack and go') with you on a CD.
- If not using 'pack and go', bring separate copies (not embedded in your presentation) of any sound files you need to play.
- If possible, bring copies of your most important slides on OHP transparencies just in case the worst happens.
Poster presentations
Posters will be on display throughout the day. Authors are expected to stand near their posters throughout the poster session; details are to be finalized, but this will probably take place in the afternoon and be of about 45 minutes' duration.
Mounting and arranging materials
- Each author will be assigned an A0 size (841 x 1189 mm) poster board (landscape).
- Posters will be mounted on the poster board with Velcro, which will be provided.
- Use of one or two large sheets of paper is preferred; where possible use of a number of small sheets should be avoided, as a limited amount of Velcro will be available.
- Authors may wish to bring their own scissors to make things easier and quicker on the day.
- The abstract title, authors, and affiliations should be indicated in a heading at the top of your poster.
- The title line(s) should be readable from at least 2 metres away;
lettering should be at least 2.5 cm high. Use an appropriately sized font.
Illustrations and layout
- Remember that your presentation must be readable from a distance. Keep visual materials simple and clear.
- Rely sparingly on printed text; graphs, charts, tables and pictures should be used to communicate information where possible.
- Focus selectively on major findings.
- Simple use of colour can add effective emphasis.
- You might like to consider providing a handout or preparing a sign-up sheet for delegates who request additional information.
